Q. What happens if I do not log in before the deadline provided to me?
A. Your temporary password will expire. To reset your password after this date, please call the Caltech Alumni Association office at (626) 395-6592.
Q. I typed in my password several times and still cannot log in.
A. Please make sure you are using your email@example.com email address. If it is still not working, please try logging in using a private window in your browser. We recommend using Safari, Firefox, Microsoft Internet Explorer and Microsoft Edge.
Q. Why did Caltech choose Office 365?
A. Caltech conducted an extensive evaluation process based upon our specific needs. Office 365 was the closest match for Caltech's requirements and offered the best security and privacy features (FERPA, HIPAA, no data mining, no advertising, U.S. hosted data only, etc.)
Q. What are the email limits for Office 365?
A. Individual mailboxes include 50GB of storage and individual emails can be up to 25MB.
Q. I am setting up my new account, what kind of password do I need?
A. Passwords can’t contain your userID, the word alumni or the word Caltech and need to be 8-16 characters long, with at least 3 of the following:
Q. Much of my email is going to my Spam folder, how do I alter my settings?
A. Please follow the steps below to change your preferences.
1. Please go to the gear icon on the top right hand corner of your Microsoft Office 365 inbox.
2. In the search area, type in block.
3. Block or Allow will pop up, please click.
4. A box to the left will open up.
5. Here you will have options to not move any email to your junk email folder, trust email from your contacts, etc.
6. Please click save after you have set your preferences.
Q. My name is misspelled? Or I would like to change my display name.
A. Please contact the Alumni Association by phone at 626.395.6592 or by email at email at alumni.caltech.edu to notify us and we will be happy to make this correction or change.
Q. How do I set up an email forward on Microsoft Office 365?
A. Please start by logging onto the desktop application to set up a forward.
Click the gear icon in the upper right hand corner
Under “your app settings” click “Mail”
A bar will open up on the left side of the screen. Under “Accounts” click “Forwarding”.
On the page that opens up, enter the email address you would like to start forwarding to. Make sure “Start Forwarding” is clicked and hit “save.”
Q. Will we be able to use the whole Office 365 suite?
A. Caltech is only able to offer the Office 365 email, calendar and contacts. If you would like to use the full suite, you will have to purchase it on your own.
Q. What will transfer over?
A. Unfortunately, you will need to copy and move messages from the old server to the new Office Microsoft 365 account. Your signatures and forwarding rules will need to be reconfigured.
Q. How do I transfer emails?
A. By setting up IMAP on AppleMail, Outlook 2016 Desktop Application, or Thunderbird, you can add your SquirrelMail Account. Once you have the account set up, you can drag the files or folders to another account already set up and the emails will transfer. We expect this process to take a few hours.
